Cancellation & Refund Policy
This Cancellation & Refund Policy (“Policy”) applies to reservations, accommodation bookings, banquet bookings, event bookings, packages, and other services provided by Aabuu Babuu Resort & Banquet (“Resort”, “we”, “us”, or “our”).
By making a booking with us, you acknowledge and agree to the applicable cancellation and refund terms described below.
1. General Cancellation Policy
- All cancellations must be communicated to Aabuu Babuu Resort & Banquet through an approved communication channel such as phone, email, WhatsApp, or the booking platform through which the reservation was made.
- The applicable cancellation terms may vary depending on the type of booking, room/package selected, promotional offer, booking platform, event, or special rate.
- Cancellation charges, where applicable, will be calculated based on the date and time the cancellation request is received by the Resort.
- Verbal requests for cancellation may be subject to confirmation by the Resort.
- The cancellation of a booking is not considered complete until the guest receives confirmation from the Resort or the relevant booking platform.
2. Accommodation / Room Booking Cancellation
Unless a different cancellation policy has been specifically communicated at the time of booking, the following standard policy shall apply:
Cancellation more than 7 days before check-in
Guests may cancel their reservation more than 7 days before the scheduled check-in date without cancellation charges.
Any eligible refund will be processed after deduction of applicable non-refundable charges, payment gateway charges, taxes, or other amounts that cannot reasonably be recovered.
Cancellation 3–7 days before check-in
A cancellation charge of [25% / 50%] of the total booking amount may apply.
The remaining eligible amount, if any, will be refunded according to the applicable payment terms.
Cancellation within 72 hours of check-in
A cancellation charge of [50% / 75%] of the total booking amount may apply.
Cancellation within 24 hours of check-in
The booking may be considered non-refundable, and up to 100% of the booking amount may be retained.
Important: The exact cancellation terms applicable to a particular reservation will be those communicated to the guest at the time of booking. Special offers and promotional rates may have stricter cancellation conditions.
3. No-Show Policy
If a guest does not arrive at the Resort on the scheduled check-in date without prior cancellation or notification, the booking may be treated as a No-Show.
Unless otherwise stated in the booking confirmation:
- The reservation may be cancelled automatically.
- The advance payment may be non-refundable.
- Up to 100% of the applicable booking amount may be charged.
- Unused nights or services will not necessarily be refunded.
If the guest expects to arrive late, they should inform the Resort in advance.
4. Early Departure
If a guest checks out before the originally booked departure date, the unused portion of the booking is not automatically refundable.
Any refund or adjustment for unused nights will be at the discretion of the Resort and will depend on the applicable booking terms.
5. Date Changes / Rescheduling
- Requests to change the check-in/check-out dates are subject to availability.
- A date-change request may be treated as a cancellation and new booking depending on the circumstances.
- Changes may result in revised room rates, taxes, package prices, or other charges.
- Promotional, discounted, or special-rate bookings may not be eligible for date changes.
- Any difference in price resulting from a change of dates may be payable by the guest.
- Any reduction in booking value resulting from a date change will be subject to the applicable cancellation policy.
6. Banquet & Event Cancellation Policy
Banquet, wedding, party, conference, meeting, corporate event, and other function bookings may involve advance arrangements, food procurement, staff scheduling, decoration, equipment, vendors, and other commitments.
Accordingly, cancellation terms for banquet and event bookings may differ from accommodation bookings.
Unless otherwise agreed in writing:
More than 30 days before the event
The booking may be cancelled subject to a cancellation charge of [10% / 25%] of the advance amount or booking value, depending on the arrangements already made.
15–30 days before the event
A cancellation charge of [25% / 50%] may apply.
7–14 days before the event
A cancellation charge of [50% / 75%] may apply.
Less than 7 days before the event
The advance payment may be non-refundable, and the Resort may retain up to 100% of the applicable advance amount, depending on costs already incurred.
Event cancellation on the event date
If an event is cancelled on the scheduled event date or after arrangements have commenced, payments may be non-refundable and the customer may remain liable for reasonable costs already incurred by the Resort.
The exact cancellation terms for an event will be confirmed in the relevant quotation, booking confirmation, contract, or invoice.
7. Reduction in Guest Count
For banquet and event bookings, a reduction in the number of guests after the final guaranteed guest count has been submitted may not result in a corresponding reduction in the total booking amount.
The Resort may charge based on the minimum guaranteed number of guests confirmed for the event.
8. Cancellation of Additional Services
Cancellation terms may also apply to separately booked services such as:
- Decorations
- Catering
- Audio/visual equipment
- Conference facilities
- Additional rooms
- Transportation
- Entertainment
- Photography/videography
- Special arrangements
- Customized food or beverage requirements
Any non-refundable costs already paid to third-party suppliers may be deducted from the refund, where applicable.
9. Refund Eligibility
Where a refund is approved:
- The refundable amount will be calculated according to the applicable cancellation policy.
- Any applicable cancellation charges will be deducted.
- Non-refundable charges may be deducted from the refund.
- Payment gateway, transaction, banking, or third-party processing charges may be deducted where applicable and legally permissible.
- Refunds will generally be made to the original payment method used for the booking.
- The processing time may depend on the payment method, bank, payment gateway, or booking platform.
10. Refund Processing Time
Approved refunds will normally be initiated within 7–10 business days after the Resort confirms the refund.
The actual time taken for the amount to appear in the guest’s account may vary depending on the bank, card issuer, payment gateway, or other financial institution.
11. Non-Refundable Bookings
Certain bookings may be offered at special or discounted rates with non-refundable or restricted cancellation conditions.
Where a booking is designated as non-refundable, the applicable advance or booking amount will generally not be refunded in the event of cancellation, no-show, or early departure.
The applicable non-refundable condition will be disclosed at the time of booking.
12. Cancellation by the Resort
In exceptional circumstances, the Resort may need to cancel or modify a reservation due to circumstances such as:
- Natural disasters
- Government restrictions
- Fire or major safety incidents
- Severe weather
- Operational emergencies
- Unforeseen circumstances beyond the Resort’s reasonable control
- Other circumstances where providing the booked service becomes impractical or unsafe
Where the Resort cancels a confirmed booking and no alternative arrangement acceptable to the guest can reasonably be provided, the Resort may offer a refund of amounts actually received for the cancelled service, subject to applicable law and the specific circumstances.
The Resort will make reasonable efforts to notify the guest as soon as practicable.
13. Force Majeure
The Resort shall not be liable for cancellation, interruption, delay, or inability to provide services caused by circumstances beyond its reasonable control, including but not limited to:
- Natural disasters
- Flood
- Fire
- Earthquake
- Severe weather
- Epidemics or pandemics
- Government orders or restrictions
- Civil unrest
- Strikes
- Utility failures
- Acts of terrorism
- War
- Other unforeseen circumstances beyond reasonable control
In such circumstances, the Resort will make reasonable efforts to assist guests and may offer rescheduling or other alternatives where possible.
Any refund will be determined based on the applicable booking terms, amounts already incurred, and applicable law.
14. Bookings Made Through Third-Party Platforms
For reservations made through third-party booking platforms, including online travel agencies or other intermediaries, the cancellation and refund policy displayed on that platform may apply.
Guests may be required to submit cancellation or refund requests directly through the platform.
The Resort will follow the applicable terms agreed between the guest, the booking platform, and the Resort.
15. Promotional & Special Packages
Special offers, promotional packages, group bookings, corporate rates, advance-purchase rates, and other discounted bookings may have separate cancellation and refund conditions.
Such conditions will be communicated at the time of booking and may override the standard cancellation policy.
16. Refund for Unused Services
Payments for services not used by the guest are not automatically refundable.
Examples may include:
- Unused nights
- Unused meals
- Unused banquet facilities
- Unused activities
- Late arrival
- Early departure
- Failure to use a prepaid service
Refund eligibility will depend on the applicable booking terms.
17. Cancellation Request Procedure
To request a cancellation, guests should provide:
- Booking name
- Booking/reference number
- Contact number
- Check-in/event date
- Reason for cancellation, where required
- Payment details or other information required to process an eligible refund
Cancellation requests should be submitted through the same booking channel where reasonably possible.
18. Disputes Regarding Refunds
If a guest believes that a refund has not been processed correctly, they should contact the Resort using the details below.
We will review the booking records, payment records, cancellation request, and applicable terms before making a determination.
19. Policy Changes
Aabuu Babuu Resort & Banquet reserves the right to modify this Cancellation & Refund Policy from time to time.
The policy applicable to a booking will generally be the policy and specific cancellation terms communicated to the guest at the time the booking was made, subject to applicable law.
